What is a prepaid pass?

A prepaid pass is a digital entitlement that staff issue to a member after recording a sale at the counter.

The pass represents either a fixed number of uses or unlimited use for a validity period, and the member sees it in the Reward Loyalty wallet with its QR code, status, history, and applicable expiry. Reward Loyalty records the pass; it does not run the payment. Read the prepaid-pass overview and the buyer Guide.

What is the difference between counted and unlimited passes?

A counted pass decreases a configured use balance, while an unlimited pass records valid uses without a remaining-use counter.

An unlimited pass needs a validity period so staff can tell when the entitlement ends; a counted pass can also have validity and expiry. Choose counted access for a defined package and unlimited access for time-bound membership-like use, without implying recurring billing or automatic renewal. See the pass setup fields.

How are prepaid passes sold, paid for, and attached to a customer?

Staff select the customer and pass, take payment in the business’s own till or payment process, and then record the sale in Reward Loyalty.

The application snapshots the issued pass terms and attaches the entitlement to that member; it does not charge a card, provide online checkout, or confirm that external payment settled. Staff should record the sale only after payment succeeds and follow the documented correction path for a mistake. Use the staff sale workflow.

How do prepaid-pass validity and expiry work?

Validity starts from the recorded sale date and follows the pass template terms captured when the pass is issued.

A pass becomes unusable when its validity ends or, for a counted pass, when no uses remain; later template edits do not rewrite the member’s issued terms. Reward Loyalty does not auto-renew, extend, or transfer the pass. Check the member’s issued record and the validity rules before promising access.

How do customers and staff use, correct, and review a prepaid pass?

The customer presents the pass QR code, and authorized staff scan it, verify the displayed entitlement, and record the supported use.

The wallet shows remaining uses or validity plus history; staff can use the documented void or reversal flow for eligible recent mistakes, with permissions and an append-only record rather than silent deletion. Partners can review recorded revenue, visits used, active and expiring passes, unused expired visits, recent activity, and the exportable transaction ledger.
