Loyalty Card Settings

Configure card behavior, redemption codes, and staff visibility

Loyalty Card settings control how customers interact with their cards, how long redemption codes remain valid, and how far back staff can see transaction history.

Accessing Loyalty Card Settings

  1. Navigate to System Settings in the admin sidebar
  2. Click the Loyalty Cards tab

Member Settings

Max Member Request Links

This setting controls how many active point request links a member can have at one time.

What are point request links?
Members can generate special links to request points from partners. This limit prevents abuse by restricting how many active requests a member can have simultaneously.

To set the limit:

  1. Find the Max Member Request Links field
  2. Enter a number (0 or higher)
  3. Click Save Changes
Value Recommendation
3-5 Good balance for most programs
0 Disables point request links entirely
10+ Very permissive, may increase abuse risk

Example: If you set this to 5, a member can have up to 5 active point request links at a time.

Redemption Settings

Code Validity Period

When a member redeems points for a reward, the system generates a temporary redemption code. This setting controls how long that code remains valid.

To set the validity period:

  1. Find the Code to Redeem Points Valid Minutes dropdown
  2. Select a time period from the options:
    • 1 hour
    • 2 hours
    • 6 hours
    • 12 hours
    • 24 hours (1 day)
    • 7 days
    • 30 days
    • 90 days
    • 180 days
    • 365 days (1 year)
  3. Click Save Changes

How to choose:

Validity Best For
1-6 hours In-person redemptions during a visit
12-24 hours Same-day redemptions with flexibility
7+ days Rewards that don't need immediate redemption

Security vs. Convenience:
Shorter validity periods are more secure (codes can't be shared or reused later), but longer periods are more convenient.

Staff Settings

Transaction Visibility Window

This setting controls how many days back staff members can view a member's transaction history.

To set the visibility window:

  1. Find the Staff Transaction Days Ago field
  2. Enter the number of days (0 or higher)
  3. Click Save Changes

What this affects:
When staff look up a member's card, they can only see transactions from the specified number of days ago to today.

Days Privacy Level
30-90 Better for member privacy
180-365 Useful for long-term behavior analysis
0 Staff can only see today's transactions

Recommended: 90-180 days provides a good balance.

Important: This is a privacy feature. Limiting staff visibility helps protect member data and complies with data minimization principles.

Real-World Examples

Coffee Shop Chain

Max Member Request Links: 3
Code Validity: 2 hours
Staff Visibility: 90 days

Why: Members redeem during their visit. Limited request links prevent abuse. 90 days lets staff recognize regulars.

Spa & Wellness Center

Max Member Request Links: 5
Code Validity: 30 days
Staff Visibility: 180 days

Why: Members book in advance. Longer visibility helps track treatment history.

Retail Store

Max Member Request Links: 5
Code Validity: 7 days
Staff Visibility: 365 days

Why: Members shop weekly. Annual visibility helps with seasonal promotions.

Common Issues

"Maximum Request Links Reached" Error

Cause: Member has reached the maximum number of active request links.

Solution:

  1. Ask them to wait for existing links to be used or expire
  2. Or increase the Max Member Request Links setting

Redemption Code Expired

Cause: The code validity period has passed.

Solutions:

  1. Extend the Code Validity Period if it's too short
  2. Educate members about validity periods when they redeem
  3. Consider sending reminder emails before codes expire

Staff Can't See Recent Transactions

Cause: The Staff Visibility Window is too short.

Solutions:

  1. Increase the Staff Transaction Days Ago setting
  2. Verify the transactions exist in the system
  3. Check that staff are looking at the correct member's card
