Staff Overview.
Introduction to the staff dashboard and point-of-sale operations
As a staff member, you process customer transactions at the point of sale. Your main tasks are scanning customer QR codes, awarding points and stamps, selling prepaid passes, and processing reward redemptions.
What Is a Staff Member?
Staff members are employees who interact directly with customers to manage loyalty transactions. You might be a cashier, server, sales associate, or customer service representative.
What You Can Do
The staff portal lets you:

The staff portal features a streamlined, mobile-first sidebar:

Accessing the Portal
- Go to
/staffon the platform - Enter your work email address
- Click Send me a login code
- Enter the verification code from your email
- You're ready to help customers!
The staff portal is optimized for mobile devices, making it easy to use on a phone or tablet at the point of sale.
Your Daily Workflow
The staff portal uses a search-driven workflow. Instead of navigating through menus to find actions, you search for the customer first, then choose what to do.
Finding a Customer
Option 1: Search
- Use the search bar on the Dashboard
- Enter customer name or email
- Select customer from results
- Choose your action (add points, stamps, redeem)
Option 2: Scan QR
- Click Scan QR in the sidebar
- Scan the customer's QR code
- Customer profile loads with available actions
Option 3: USB or Bluetooth Barcode Scanner
- Connect a USB or Bluetooth QR scanner to your PC or tablet
- Open any staff page in your browser
- Scan the customer's QR code. The browser navigates to the right page.

Option 4: Recent Customers
- Click Members in the sidebar
- Find the customer in the list
- Select them to continue
Awarding Points (Loyalty Cards)
- Find the customer (search or scan)
- Select Add Points action
- Enter the purchase amount
- Confirm the points to award
- Customer receives their points instantly
Adding Stamps (Stamp Cards)
- Find the customer (search or scan)
- Select Add Stamps action
- Confirm the stamp addition
- Customer sees their progress update
Processing Redemptions
- Find the customer (search or scan)
- Select Claim Reward action
- Verify they have enough points/stamps
- Confirm the redemption
- Provide the reward to the customer
Redeeming Vouchers
- Find the customer (search or scan)
- Select Redeem Voucher action
- Scan voucher QR or enter voucher code
- Enter purchase amount
- Confirm and apply discount
Selling Prepaid Passes
- Take payment at your till
- Tap Sell a pass on the Dashboard, or open the customer first and pick the pass there
- Confirm the price you charged
- Let the customer scan the purchase code, or scan their Buy at the counter code
On each visit, scan the QR on the customer's pass and tick one or more visits off. A one-tap undo fixes mistakes. See Selling and scanning for both flows, including selling to brand-new customers without looking anyone up.
Club Assignment
You're assigned to a specific club (location). You can only:
- Award points/stamps for cards in your club
- Process redemptions for cards in your club
- Redeem vouchers belonging to your club
- Sell and scan prepaid passes belonging to your club
- View customers using your club's cards
If you try to open a loyalty card, stamp card, or voucher from a different club, you'll see an "You can't access this item" page. This means the item belongs to another club. Ask your manager to add you to the correct club, or go back and select the right item.
If you work at multiple locations, contact your manager about multi-club access.
Tips for Great Service
Start with search: The fastest workflow is always: search/scan customer → choose action.
Keep it quick: Practice the scanning workflow to serve customers efficiently during busy times.
Promote the program: Remind customers to show their card with every purchase.
Handle issues gracefully: If something goes wrong, explain calmly and get manager help if needed.
Stay charged: Keep your device charged—you'll use it frequently.
